Advancement Systems

  • Responsible for planning and operating all aspects of the University’s advancement systems, which includes gift records; programming, reporting and data analysis; ANDI Help Desk; ANDI training, and computer support.
  • Work side-by-side with Director of New Systems Implementation to plan and implement ANDI upgrades and ANDI Web Access.
  • Work closely with Alumni and Development staff across the state.
  • Maintain working relationships with the Controller’s Office, internal and state auditors, Treasurer’s Office, Bursar’s Office, Financial Aid, departmental business offices, the Acting Director of the UT Foundation, and IT programmers.

Purpose

  • Support the mission of Advancement Services by employing an integrated service strategy that enables us to respond to our customers’ problems, requests, and questions in a timely and efficient manner.
  • To support alumni, development, and annual giving programs by maintaining an accurate database.
  • To provide computer systems services enabling users to communicate with alumni and friends, solicit alumni and friends, and report to and recognize donors.
  • Responsible to donors for accurate receipting.
  • Responsible to IRS, state auditors and University for ensuring compliance with IRS rules and regulations governing classification and receipting of gifts.
  • Responsible to the University for properly depositing and accounting of $100M+ in gift revenue.
  • Oversee the management of IRIS/ANDI financial interface to ensure financial accuracy and daily reconciliation of revolving accounts to University accounts.

  • Oversee the management of ANDI security, allocation tables, TMS tables and other ANDI systems administrative functions.

Strategy

  • To cultivate, develop and maintain collaborative relationships with ANDI users in order to have a complete understanding of the needs of our colleagues. Evaluate these needs and how they are being met using ANDI. Identify opportunities for increased efficiencies through more effective utilization of Advance functionality.
  • Be proactive in anticipating and responding to the changing needs of our customers.
  • Ensure accuracy and integrity of all reports and information being distributed.
  • Develop procedures, training and operating practices for the various entities and evaluate the level of security needed to safeguard the integrity of the data.
  • Provide continuous training for data processors to increase data consistency, integrity, and productivity.
  • Stay in tune with and employ new technologies that will allow us to reduce operating costs while improving our data quality.
